I'm a theater technician at SUNY Plattsburgh. Currently, we have a bit of a mess in our Props Loft and were coming up with ideas on how to reorganize. I've heard about a barcode software that could help out a good bit as shown in the link below. Right now we have a category system but it seems to be not working, and I was thinking about redoing the category system but perhaps in alphabetical or time period.

ah, the dreams of organization...
I desperately want to implement this as well, with each item well described, and cross-referenced if possible in the computer, being able to 'checkout' items to inhouse shows and loans alike, then check them back in with the barcode.
the different categories for cross reference would be as follows:
-item name or function (radio)
-general period - 1950's, 1960's
-color - pink
-material - plastic bakelite
-size - 6 x 6 x 18
-power - AC electric
-condition - works, dial lights up, picks up AM
other notes: gold and cream trim
very boxy
has paint spatter on
and, of course, a picture of the item would come up with the listing as well
Of course, actual storage of said items will continue to be a challenge. I constantly have people question my box labeled 'bells', because surely the decorative 'bridal' bells don't below with the counter dinger bell or the hand bells or the store door bell......
nope, they're all bells, and right now they all fit in one box.
I try to keep all my umbrellas in one spot, except for the longer ones that don't like to stand up in a kitty litter bucket, or the really fragile ones that just need be handled carefully.

You could check out my website--I have a link under blogs that is for costume shop organization. A lot of the posts talk about how to organize costumes and they also address labeling systems. I think most of the principles would apply to props as well.

I have never worked in a college theatre, be hear is my take from experience working in community theater. The problem with organizing the physical storage of props is that how and where they are stored tends to be governed more by the size and shape of the prop then any other factor. I can be hard to store them alphabetically when things that need to be next to each other are vastly different sizes or require special means of storage, like being hung instead of sitting on a shelf. I find it works best to keep similar items together and setup props storage so it's easy to walk through an see everything. As for the idea of bar-coding and cataloging props, I think we have all had it at one time or another, but for it to really work (especially in community theater) you need one or two people who are going to take responsibility for it. It's sad to say but I find that the average person working on a show isn't going to care enough to respect your system of organization. So unless someone keeps on top of it things are going to get taken out without recording it, put back in the wrong place, etc. You cold try restricting access to the props, but I find that that usually last for a week or two then problems come up with that restriction. |
